Custom inventory management software

We build custom inventory management software for distributors, multi-branch stores and service businesses: counts with a phone scanner, stock per warehouse, goods reserved for orders or still in transit, and a report that shows what is missing and what is over compared with your books.

Inventory software on a tablet

Is this how inventory works today?

  • The system says you have stock and the shelf is empty, or the other way around.
  • People count on paper and someone spends hours typing it into a spreadsheet.
  • You sell goods that were already reserved for another customer or are still on the truck.
  • Each branch orders supplies over WhatsApp and nobody knows what was bought or what arrived.
  • Counting the whole warehouse means closing for a day or working all night.
  • Your products have no barcodes, so every count is a guess.

Inventory systems we have built

We built a subscription inventory app for small businesses, stock control for a wholesale distributor and a counter inventory for a chain of laundries. Each one solved a different control problem.

Subscription inventory app for small businesses

Platforms: iOS and Android app · Web dashboard · API

The problem: Restaurants, pharmacies, hardware stores and small shops counted on paper and could not explain why their system never matched the shelf.

What we built: We developed an iPhone and Android app that uses the camera as a scanner, compares book inventory with the physical count in a variance report, generates SKUs and labels, splits a warehouse into count zones and tracks fixed assets with photo and owner, with in-app subscriptions.

Wholesale hardware distributor

Platforms: Web dashboard · Android and iOS app · API

The problem: It sold on the road and at the counter, and needed to know which goods were available, which were reserved for an order and which were still in transit, without selling the same item twice.

What we built: A dashboard whose inventory separates available, reserved and in transit, by unit and by case, tied to the order flow (pending, approved, picked, on the way, delivered) and to an offline-capable app with sales rep, warehouse and driver profiles.

Laundry and dry-cleaning chain with franchises

Platforms: Web dashboard · Android and iOS app

The problem: The system showed many undelivered tickets at one branch and there was no way to know which garments were still physically at the counter without counting by hand. Branches also ordered supplies with no record of what was bought.

What we built: We developed a counter inventory counted ticket by ticket with a scanner or folio number that reports what is present, incomplete, missing or extra, plus supply requests per branch with quantities requested, purchased and delivered.

What custom inventory management software can include

Not every business needs the same thing. These are the features we build most often; we pick together the ones that solve today's problem and leave the rest for later.

Counting with a phone

The phone camera works as a barcode or QR reader. Search by code or SKU, add products without a code and let several people count at the same time.

Book versus physical

Load what your system says and the variance report shows missing and extra items per product, in PDF or Excel, ready to adjust or investigate.

Available, reserved and in transit

We separate what you can sell from what is already committed to an order or still on its way, by unit and by case, so nobody sells stock that is not there.

Branches and warehouses

Stock per branch and per warehouse, with users and permissions per location. Owners see everything; each manager sees their own.

Labels and count zones

We generate sequential SKUs and printable barcode labels, and split a large warehouse into zones so it can be counted in parts without losing control.

Supplies and fixed assets

Supply requests per branch with quantities requested, purchased and delivered, plus a fixed-asset register with photo, location and the person responsible.

How we build your inventory system

First we look at how your goods move: where they come in, where they are stored, how they leave and where control gets lost. That decides whether we start with counting, with stock per warehouse or with orders.

If you already use a point of sale or accounting system, we start from your current catalog and import it. We deliver in stages with weekly progress, and we test with a real count before rolling out to every branch.

Once the system is live we stay on: we adjust reports, add branches and, if you need it, connect it to your invoicing or your sales routes so stock moves on its own with every order.

Frequently asked questions about custom inventory management software

When does custom inventory management software make sense?

When your operation has rules off-the-shelf tools do not cover: stock reserved for orders, delivery routes, customer items you hold, or supplies shared across branches. If an off-the-shelf tool already works for you, we will tell you.

How do small businesses keep inventory under control?

Give every product a code, record every receipt and sale when it happens, and run small frequent counts instead of one huge count a year. A system with a phone scanner makes those counts take minutes.

Do I need to buy barcode scanners?

Not necessarily. A phone or tablet camera works as a reader for most counts. If your operation needs them, we also integrate scanners and label printers.

Can it connect to my point of sale?

It depends on the point of sale. We can always start from your exported catalog and import it; if your system offers a way to exchange data, we use it to keep stock in sync.

How long does it take to build?

A first version focused on counting or on stock per warehouse is usually ready in about 2 months. More modules are delivered in stages with weekly progress demos.

Can several people count at the same time?

Yes. Each person counts from their own phone, in their own zone, and the system merges the results. That is how a large warehouse gets counted in hours instead of days, without closing the store.

Inventory Turnover Ratio: Formula, Benchmarks and Fixes

The inventory turnover ratio is the fastest way to see how much cash your warehouse is sitting on. This guide covers the formula, the version of it that misleads people, how to set a benchmark from your own history, and five operational fixes that move the number without starving sales.
